SHEQ Management Policy

This statement sets out how the R.K. Transport Service Group is committed to achieving the highest standards of SHEQ (Safety & Health Environment Quality) performance throughout the Group. R.K. Transport Service undertakes all activities in a highly responsible, professional and competent manner and strives to continuously improve performance towards an ultimate objective of zero incidents, injuries, failures or complaints together with maximum effectiveness and efficiency.

SHEQ managing team has been to lead, coordinate and review the Management System with respect to suitability, adequacy and effectiveness to ensure that the applicable standards are always met. The system includes supporting policies which focus in more detail on specific SHEQ aspects.

Our commitments translate into important policy statements and actions:

Working hour's policy

  • Drivers are considered as the backbone of the company and hence every possible step is taken to ensure their safety and efficiency.
  • Driving hours morning 5 am to night 11 pm
  • Incase of no entry, drivers shall inform in advance about the restricted area and can get permission to cross no entry. After that he will park the vehicle in safe place.
  • Continues driving not allowed. After every 3 hours he has to take rest for 15 / 30 min (break).
  • Maximum running per day 400 km in 16 hours.

Logistics department & Traffic division 6 am to 10 pm. (handled via Mobile & Office hours)

  • Administrative department 10 am to 7 pm.

Mobile policy

  • Using of mobile phones is strictly prohibited while driving & Inside Factory Premises.
  • In emergency, called driver shall pull over the vehicle in safe parking place after some time and call back, however if it is not possible due to traffic or when he is on expressway the cleaner would attend the calls.
  • Use of mobile phones is strictly prohibited at loading and unloading points as well inside company premises.
  • No phones shall used while attending any meeting.

Rules & Responsibilities of Drivers

  • Reaching destinations in stipulated time
  • Give record of loaded materials like GC No., Inv. No., Inv. Amt., Qty and Opening Odometer reading and closing.
  • Load & Unload material as per instructions of authorized person of R. K. Transport Service, as well as authorized person of the company for whom the tanker has gone for loading or unloading.
  • Follow the instruction while vehicle taking turnaround inside the company.
  • Wearing PPE while loading and unloading and not using mobile phones inside premises.
  • Daily reporting to Traffic Manager about the status of the vehicle.
  • If any break down contact Maintenance Supervisor Mr. K. P. Verma on his Mob No. 9987417410 as well Traffic Manager.
  • Dangerous Goods handling Policy
  • Driver should have adequate experience in driving Hazardous goods.
  • Driver should undergo 3days training for handling and safety of DG goods at “Trium Consultants” (Institute of logistics management) in Sewree.
  • Driver should have trained for driving Hazardous goods & in possession of valid certificates also. Driving license should be endorsed for driving Hazardous goods from RTO.
  • The driver carrying Hazardous goods shall ensure that the information given to him in writing (Trem Card) is kept in the driver's cabin and driver should read the Trem card after loading the Hazardous goods.
  • Driver of transporting hazardous/ dangerous goods shall observe all times during driving all the sides for prevention of fire, explosion or fatal to others and when it is not being driver, he shall ensure that the goods carriage is parked in a place which is safe from fire, explosion and any other risk and at all time the vehicles remains under the control and supervision of the driver & Cleaner.
  • The driver must make sure the presence of the below PPE in the vehicle and use it in time of emergencies.

We have given “Driver Manual” for all the vehicles.

The new drivers are introduced by existing driver’s guaranties who is having minimum 10 years experience in driving field. Fresh candidates & black listed candidates are not allowed to attend the interview programs. The Documents & Other information to be collected from the new driver is as follows;

Valid Documents

  • Driving License, Hazardous License,
  • Ration Card, Aadhar Card, Voter ID, PAN Card,
  • Police Verification certificate / verification letter from Sarpanch,
  • Certificate of Defensive Driving,

  • Self contact Number
  • Native place Families Contact Number (Minimum 2 members)
  • Friends contact Number (Minimum 2 members)
  • Previous Owner/Manager contact Number
  • Gram Pradhan/Sarpanch/Vidhayak contact number

All the documents are verified in front of the candidates even the Phone numbers are verified by making calls to given contact numbers by the candidate.


Safty general precaution

(A) Special Instructions for Driver :

  • On duty No consumption of Alcohol / Drugs.
  • No Smoking Inside Premises & while driving.
  • No flame producing items e.g. Scented sticks, lighter, stoves inside the cabin.
  • No eating or drinking while driving inside the vehicle.
  • Do not use mobile phone / two way radio while driving.
  • Follow traffic rule.
  • No night driving. (Night from 11 pm to Morning 5 am)
  • Take a break of 15/30 minutes after continuous driving 3 hours.
  • Routine checklist before starting the vehicle daily during transit.
  • Contact twice in a day to Company’s Traffic manager.

(B) Inside The factory Area :

  • Report to the security gate.
  • Follow the instructions of the security staff.
  • Produce the relevant documents to the security staff.
  • Follow the speed limit not more than 10km/h or displayed inside the factory area.
  • Follow the designated route inside the factory area guided by company staff.
  • Use proper PPEs during loading / unloading.
  • Follow the instructions of the supervisor while loading / unloading operations.
  • After Loading/unloading complete all the documents procedure. After receipt of documents leave the premises only after getting proper permission from the concern department.

(C) Inspection of Vehicle / Tanker :

  • Check vehicle Fit to move on the road.
  • Check PPE - Goggles, Helmet, Gloves, Shoes, Chemical suit.
  • Check emergency Took Kit.
  • Check valve box, roto gauge cover.
  • Check insulation / paint condition of tanker
  • Check Tyre conditions.

Offset Emergencies

When vehicles are in transit, emergencies are inevitable. Team Logistics has to manage in such cases as per the protocol. Offset emergencies can be of following 4 types

  • Accident :

    PROTOCOLS IN EMERGENCIES

    • If driver is able to convey the message he should inform immediately to the no. 02224140111 Cell No. 9320137832 / 9702636567 / 9987417410 or they can contact directly Logistics Manager Mr. Krapesh Kulal on his cell 9324610485 as well concerned police stations & Fire brigade, Ambulance and disaster control room of concern consignee or consignor.
    • Drivers are authorized to inform crane services if necessary.
    • Cordon the accident spot by suitable reflectors on 4 side and preparing the barrier by using the tapes.
    • Drivers shall try to minimize/stop spillage of the materials if the vehicle is loaded. If material is hazardous he will try to keep away local publics from the accidental area and preventive procedure will follow as per trem card & MSDS.
    • Before doing any activities drivers must use PPE.
    • Team logistics should immediately arrange for medical help for driver or cleaner if any injury sustained to them.
    • Administrative department should convey the message to concern company , Insurance Company as well to the maintenance supervisor.
    • If accident happens within 350 km range of Mumbai area the break down van must be sent with required kits along with professional mechanics & supervisor.
    • R.K. Transport Service’s Insurance Surveyor as well concern consignee/ consignors surveyors must reach for the spot survey.
    • If the surveyors gets late to repot for the spot driver can capture the snap shots from his mobile phone or he can arrange the local photographer and follow the instruction given by the local RTO or Police.
    • After completion of survey from both parties along with the police permission emergency team would immediately start the rescue operation.
    • Copy of the police FIR to be obtained from police station & court release order.
    • In case of casualty of crew postmortem report should obtain from hospital with all medical bills.
    • Copy of the photographs of accident damage part before & after rescue to be submitted to respective authorities.
    • Shortage certificate/ loss quantity certificate and copy of GC Note/ LR and all other relevant documents to claim for the materials are to be given to the company whose consignment transported.
    • An analysis report to be submitted by emergency team regarding cause of accident and what precautions to be taken in future to avoid/minimize such type of incidence.
    • Driver shall be called in the office to discuss for cause of accident.
    • Team logistics must call for the meeting for the discussion in this issue and preventive action to be taken to avoid from our end in future.

  • Fire :

    PROTOCOLS IN EMERGENCIES

    • The driver should immediately park the vehicle in safe and secluded place.
    • He should exit the vehicle immediately with the fire extinguisher and PPE.
    • He should immediately inform the Fire brigade, then police station.
    • He should call team logistics and to the control room of concern company whose material is being transported.
    • Cordon the accident spot by suitable reflectors on 4 side.
    • Driver can take the help from local public (after giving proper instructions) to extinguish the fire.
    • He should wear PPE and must try to put sand/soil on the leakage area so as to certain it from spreading and then collect it in plastic drum.
    • Professional team with mechanic supervisors and required repair parts should be sent to site for immediate help.
    • If there is loss to material, Insurance company to be informed to send his surveyor as well as customer to send his marine surveyor.
    • After completion of survey from the both the parties along with police permission emergency team would immediately start the rescue operations.
    • Copy of police FIR to be obtained from police station & court release order.
    • In case of casualty of crew postmortem report should obtain from hospital with all medical bills.
    • Copy of photographs of the accident, damage part, before & after rescue to be submitted to respective authorities.
    • Shortage certificate/loss quantity certificate and copy of GC note/LR and all other relevant papers to claim for the materials to be given to customer whose material transported.
    • An analysis report to be submitted by emergency team regarding cause of accident and what precaution to be taken in future to avoid/minimize such type of incidence.
    • Driver shall be called in the office to discuss for cause of accident.
    • A meeting of management to be called to discuss in this issue and preventive action to be taken to avoid from our end in future.

  • Theft :

    PROTOCOLS IN EMERGENCIES

    • If the vehicle is stolen from parking then driver should inform immediately on 022 24140111 / Mr. Krapesh Kulal (Logistics Manager) Cell NO. 9324610485. In absence of Mr. Kulal he will advised to contact Mr. Shivom Sharma (Traffic Manager) Cell NO. 9320137832 as well concerned police station.
    • If the material is stolen then team logistics should inform to concern customer whose consignment is being transported.
    • Drivers should park the vehicle in safe parking or pay n park place or else truck terminal yards.
    • If the vehicles are in Mumbai the parking place will be companies workshop in Mahape Navi Mumbai
    • If the vehicle are located near braches vehicles must be parked near branch offices or as per guidelines of the branch manager.
    • If vehicles are in transit vehicles must be parked in BPCL Petrol Pump (R.K. Transport Service is a platinum customer of BPCL) or any secluded Daba’s or any truck terminal yard.
    • Loaded tankers check the seals, central locks, master vales for any leakages.
    • Drivers are authorized to file a FIR in local police station.
    • Insurance company to be informed to send their surveyor as well customer send his material surveyor.
    • After completion of survey from both the parties along with police permission emergency team would immediately start the rescue operation.
    • Copy of the fir to be obtained from police station & court release order.
    • Shortage certificate/loss quantity certificate and copy of GC Note/ Lorry receipt and all other relevant papers to claim for the materials to be given to customer whose consignment transported.
    • Driver shall be called in the office to discuss for cause of accident.
    • Team Logistics to be called to discuss in this issue and preventive action to be taken to avoid from our end in future.

  • Leakage :

    PROTOCOLS IN EMERGENCIES

    The chances of spillage is only if the vehicle meets with any accident on road. In case the vehicle is been hit by other vehicle, or if it rolls over then due to the impact there could be leakage / spillage of material.

    The following instructions are followed for spillage and control.

    • In case of leakage driver will follow the Term Card/MSDS for preventive action.
    • Driver should first wear PPE before taking preventive action on leakage.
    • Driver shall try to minimize/stop spillage of the materials. If material is hazardous he will try to keep local people away from the vehicle.
    • Driver will put soil/sand on the material leaked on the ground to avoid flowing / spreading to large area of ground.
    • In case of heavy spillage driver will contact to nearest police station and fire brigade and will also contact to his office on contact No. 022-24140111, and will inform to Mr. Krapesh Kulal Logistics Manager cell No. 9324610485. In absence of Logistic Manager he will contact Mr. Shivom Sharma Traffic Manager cell No. 9320137832.
    • Driver/office Manager will also inform emergency no. & Disaster Control Room of the consignee or consigner who’s consignment is being transported.
    • After informing concern person driver will arrange for the Cranes or Hydras to get the vehicle into correct position where he can control more spillage and also clear the traffic.
    • From Office it will be informed to the concern customers for the arrangements of necessary insurance surveyor to claim the losses due to material spillage.
